Maintain customers prospectus



Maintain customer/prospectus
After maintain chart of account we can click on maintain and then click on  customer /prospectus


·        A following window for further process will open





·        These arrows and look button are called header / footer

Further specification
·        In customer id : we have to write the customer name his identity the id must be in numberics or in alphabet order.
·        The option of magnifier glass in front of customer id is an option of look/search you have to select the decided code of accounts from it.
·        Name : in the name block we right the company name what ever the company has decided or what ever the name would be selected we have to right in it.













·        Open a general tab by clicking on customer/prospectus





·        After opening the GENERAL  tab fill the necessary information


Contact: write the contacts of person to whom you have to deal
Arrow:  the arrow in block of bill to address shows the option of address where the bill has to send there are 10 options of bill which you have write
Information: the next remaining blocks you have to write the detailed information about the person to whom you are dealing where he live, country code , telephone number , website address each and every thing must be defined.

·        NEXT CLICK ON THE SALES DEFAULT TAB


SALES REP: In sales rep give the detail of sales representator
GL sales acct: provide the legder code regarding the accounts we have recorded and fill the further necessary informations about the pricing and the delivery method report via email or through paper form.













·        Next click on PAYMENTS DEFAULT


Cardholder’s name: in card holder we have to right down the name of person who has to make payments through card it the most necessary thing from which the customer has to make payments or show his or her identity.
 Address:  in address the address of customer has to write
City state zip: in this block we have to jot down the country code state name . Very next write down the country name from which he belongs or from which he do trade or get some consignment. Write down the expiry date of his card .
Payment method: in payment method options are available weather you have to make cash payments or through cheque.









·        Click on very next CUSTOMER FIELD option



After completing the remaining 3 Tabs we can fill the options of CUSTOMER FIELDS which are 4 but we can use the option of 5th one to put any other requirement to fill in it
1.     Second contact: in second contact we jot down the  another contact number of the customer in it.
2.     Reference: what are the references of this customer
3.     Mailing list : what are the mailing list either it is send only to custome or any other one can also include in it
4.     Multiple sites: on what sites you can check it or open or sho the records.






·        Click the tab of HISTORY


Customer since: in this block we have to write from how long this customer will be doing transaction with this company.
Last invoice: in last invoice write down the date what is the last invoice transaction date
Last invoice amount: this should tell what is the last amount transacted further last payment date, last payment amount from the customer and last statement date have to be fill for information.







·        CUSTOMER DEFAULT
After clicks on MAINTAIN option and then press the mouse button on DEFAULT N and then select CUSTOMER DEFAULT

·        Payment terms
In payment terms following methods and terms are included c.o.d, prepaid due in numbers of days . due on day of next month futher very next of it days in which amount is due or the amount of discount and rate of discount will be shown.
GL sales account: in general sales account the code of given accounts must be written










·        Account aging

Aging categories: aging categories are mention in 4 columns in 1st column number of days are upto 30  and starts from 0 -30.
2nd column: in 2nd column number of days are 60 and starts from 31 to 60 it is mentioned for the purpose of amount due date which is paid by the customers  to make check and balance on their payments.
3rd column: third column is for 90 days a limit is for 90 days it starts from 61 to 90






·        Customer fields

In customer field 5 options are given with you can active it by clicking after the block by tick it. In this blocks customer 2nd contact, references, mail list and multiple sits were shown.
·        Finance charges:



Days over due upto: amount as fine has to be written if the date is over due and customer will not pay the amount
Annual interest rate: the rate of interest will be charge or written in it what was the rate of it.
On balance above that:if the balance is above from the specific amount then what will be the rate  rate of amount has to be charge.
Minimum finance charges: what are the charges has to be decided for finance.

          Payment methods


In payments method shown the 10 columns. In this we have to write the ways through which payment has been made weather is is through cash, visa card, cheques, master cards, amex, discover.
